Fees & New Client Information

2021 Update RE: COVID-19
We continue to observe appropriate health and safety guidelines through proper cleaning methods. Although some in-person sessions have resumed, available times may be limited and may change based on Centers for Disease Control recommendations.  We appreciate your understanding and will continue to assess for the possibility of changes.
Commonly asked questions:
How do I become a new client? When can I start?  

1) Complete the contact form to let us know you are interested.

2) Schedule a free 15-minute phone consultation.

To guarantee a time to talk and avoid missed calls, these are scheduled calls. It's recommended you choose a time and place where you can speak openly in the event you discuss any private and personal information. This call helps to ensure your needs can be met or if more specialized supports may be needed. Intake paperwork is then sent to you within approximately 24 hours.

3) Send completed intake paperwork to schedule an intake session. 
All information is kept confidential.
Do you accept insurance?
Rochester Art Therapy does not accept insurance and is a self-pay practice.
Payment due at time of session by check, credit card, and Health Savings card.  

  
For reimbursement, please contact your insurance carrier regarding "out-of-network" options on your plan. A superbill may be provided which includes personal health information such as name, date of birth, and must include a mental health diagnosis to support medical necessity -required for children as well as adults.  

Out-of-pocket payment advantages:
Mental health information kept private from insurance, no cap or maximum allowed number of sessions, and no prior-approval necessary.   

Reimbursement denied?:
Reasons may include a deductible is not met, no out-of-network option, or therapy does not meet criteria for medical necessity. Check with your insurance carrier to learn more.
What are your fees?
The initial 60-minute intake session is $125.
Subsequent 50-minute treatment sessions are $100. 


What is the intake?
It is a 60-minute session to review reasons for treatment, goals, history, policy review, privacy notification, and what to expect from treatment with your therapist. An intake report is completed by the therapist.  Intake may also include calls to collaterals (i.e., doctor, teacher, or another treatment team.) This also helps determine if more specialized care is recommended and referrals are provided when possible.  

Subsequent sessions:
Intake session may not always capture all information needed and may extend into as many as 2-3 subsequent sessions. Obtaining information for the intake process is vital to ensuring your treatment meets your needs.  

No-show or late cancellation (less than 24 hour notice) full session fee is collected.
Why the fee?  Your therapist holds a specific time devoted to you. It also means no other clients may schedule during that time.  Ultimately, this can impact other clients who have rearranged their personal schedule to accommodate what is available.

Other fees: $100/hour.  
Requests to complete forms and documentation are limited to existing clients and may be completed during or outside session time at the rate of $100/hour. In the event of subpoena by court/judge, the hourly fee will apply to any court-related matters including transportation costs, documentation, time spent in court, etc. A minimum of 72 hours is needed to complete forms/documentation- please plan requests in advance.
Disability forms, support animal, mandated court needs, etc.
Rochester Art Therapy is not able to provide assessments, evaluations, and/or documentation solely for the purpose of disability, support animals, to fulfill court-related matters (child custody, substance abuse, employment, housing, etc.)  
Can I tour the office?
Visits to the office are by appointment only.
With our focus being on individual treatment, we do not offer tours of the office. Privacy and safety of clients is of the utmost importance at Rochester Art Therapy. Unplanned visits to the office infringe upon the privacy of clients entering and leaving the office. Drop-in visits run the risk of interrupting a scheduled session with a client. 
Do you offer groups or workshops? When is the next one?
Groups and workshops are not currently offered at Rochester Art Therapy and have been postponed indefinitely.
How often do I need to attend?  What should I expect?
You are asked to commit to 6 weekly sessions to start.
After that time we will evaluate your needs together as goals may change. It is helpful to consider 6 months to one year commitment.  

If your initial decision to commit is once every 3-4 weeks or less, Rochester Art Therapy may not be the best fit. Infrequent attendance can result in catch-up sessions with little room to focus on initial goals which can hinder expectations for progress. We are passionate about helping you achieve your goals and hope you will make the time for personal investment.

Standing appointment times are not guaranteed and we are grateful for your flexibility in scheduling.

Talk therapy didn't work for me. Will Art Therapy be better?
Art Therapy has been very beneficial to many people and offers many avenues for healing and recovery. 
Sometimes sessions may not include art-making and may be more about talking.

Although using art in therapy sessions may be difficult for some, work with your therapist to discuss any discomfort and make any necessary changes or modifications. (Talking through it is growth!)  Art Therapy may ask you to think abstractly and challenge your ideas about what art "should" be. The goal is not about making beautiful art- it's about allowing art to help as a vehicle for self-expression. It's not uncommon to feel some uncertainty about starting. If you feel strongly that you may not benefit from Art Therapy, talk with your therapist about alternative options.
